Terms and Conditions

HIRE FREEDOM require all persons hiring equipment to have read and understood the contents of this document. If you do not understand any of the information within this document or require further clarification on any of the points below, please contact Hire Freedom directly at support@hirefreedom.co.uk 

AirTag Use and Responsibilities Clause

1. Purpose: The Parties acknowledge the use of Apple AirTags for the purpose of tracking and locating personal property.

2.  Usage Guidelines: The Parties agree to use AirTags solely for lawful purposes and to not use them to track individuals without their consent.

3. Liability: The Parties agree that they shall not hold each other liable for any loss, damage, or unauthorized access resulting from the use of AirTags, except in cases of gross negligence or willful misconduct.

4. Data Privacy: The Parties commit to safeguarding any personal data accessed through the use of AirTags and to comply with applicable data protection laws.


USER AGREEMENT TERMS AND CONDITIONS

The Client, by placing an order via online or email, agrees that they accept the conditions of the rental agreement. HIRE FREEDOM will retain a booking email, copy of valid drivers license, Passport ID for said persons vehicle roof tent is to be attached to and a signed terms and conditions agreement, which the Client will then be supplied via email as confirmation of their booking.


DEPOSIT AND BOOKING: 

-A Β£50 non-refundable deposit is required at the time of booking in order to reserve your dates, payable by BANK TRANSFER or CASH. The deposit will go towards the total rental cost of your Hire package. 

We must receive full payment prior to the installation. This can be by CASH (on the day prior to installation) or by BANK TRANSFER (must be 7 days prior to booking date.)

If the Client chooses to downgrade the hire after this time, the original booking price will still apply with no refund. 

On Installation day a Β£250 security deposit is also required onto of hire price to release the hired  equipment and will be reimbursed on return of roof tent once uninstalled & after damage/cleaning inspection if there is no damages.

All prices are subject to change, however prices quoted at the time of booking will always be honoured.


UNDERSTANDING

- The hire charge does not include making good any repairs to the hire equipment unless caused by the negligence of the company servants


CANCELLATION: 

- Cancellations can be made upto 7 days prior to the scheduled booking date. The Β£50 deposit is non-refundable, but may be applied towards the cost of another hire if held within 60 days of the original hire date. If you choose to cancel our services for any reason, your deposit will be forfeited. 

HIRE FREEDOM reserves the right to cancel your booking at any time, for any reason. We will always try to give as much notice as possible. Upon any such cancellation we will refund the Client any monies paid in respect of the hire booking, within 30 days, should any refund be due. HIRE FREEDOM will not be liable to pay any compensation to the Client or any other person for any loss, damage or expenditure arising directly or indirectly from the cancellation. HIRE FREEDOM reserves the right to terminate the booking without notice if there is a breach of these conditions.


FINAL PAYMENT: 

- All outstanding balances for extras/add ons (i.e roof bar/paddleboard/kayak hire) are due when booking, payable by bank transfer or cash.

FORMS OF PAYMENT: We accept bank transfer and cash. 


INSURANCE: 

- Insurance is the Client’s responsibility during the rental period. HIRE FREEDOM is not liable for any accidents that occur during said rental period. The Client accepts all liability when renting from HIRE FREEDOM. The Client is responsible for the security of the equipment at all times during the rental period. If the Tentbox or any equipment supplied is damaged beyond repair, the client is responsible to cover the whole & entire replacement cost up to Β£2000.




LIABILITY TO THIRD PARTIES: 

- We strictly provide entertainment. Please be aware that children & pets need to be supervised. HIRE FREEDOM will not be liable for any claim for personal injury, death, loss or damage to the property however caused. HIRE FREEDOM has the final decision in all matters relating to these Terms & Conditions. The Client will indemnify the Company against all claims for the injury to persons or loss or damage to property howsoever caused unless it is proved that such injury or damage was caused by faulty material or workmanship or negligence on the part of the Company.


DELIVERY AND SET UP: 

- Assembly, collection and general laundering are included in the hire cost unless stated otherwise.

Installation times will be agreed once booking has been arranged and non refundable deposit paid. A 2 hour window for arrival will be given the day of delivery. The Client is responsible for being present to accept delivery of the equipment. If client is not present within 1hr of installation arrival booking will be forfeited and all monies non refundable with no exceptions.

The time required for complete set up is approximately 1-1.5 hours, but may take more or less depending on the competency of clients ability to erect & detect roof tent.  We ask that no children or guests are in the installation area during set up in order to avoid a time delay. 

*All areas must be clear before setup begins.

If our roof tent does not fit on your vehicle because wrong information was provided then client forfeits booking unless able to provide an alternative by purchasing the relevant equipment to install there & then within installation time period. Our staff will not be liable and will always chose the safest, best decision. It is your responsibility to ensure you advise the correct vehicle specifications for our fitters to install.


A walk-through will be performed with the Client after installation to confirm they are competent and confident how to handle and setup the roof tent & also to point out any damages or issues. 


RETURN OF EQUIPMENT: 

- On the day the hire ends, at a previously agreed time, to breakdown and inspect equipment.  

A walk-through will be performed with the Client prior to breakdown to confirm there are no damages or issues. 


DAMAGES: 

- General cleaning of all items are included in the hire price. 

The Client will be responsible for the cost of replacing any HIRE FREEDOM equipment damaged due to mistreatment while in the Client’s possession. This includes breakages of tent sheet/frames/poles/Lights/bed sheets/tent cover/mattress/linens/kayaks/paddleboards/fairylights/kettle/stove or extra cleaning needed due to stains. 

If any item is damaged or stained, security deposit will be forfeited and full replacement value will be required to the sum of Β£2000.


HIRE FREEDOM items exposed to cigarette smoke will incur an additional Β£100 cleaning fee.

SMOKING IS NOT PERMITTED in any of our roof tents or on any of our Kayaks/Paddleboards.


It is the responsibility of the Client to take duty of care and always supervise children & pets with the hire equipment. Diligence must be taken with younger children under the age of 5 & pets.

Assembly/Disassembly is the responsibility of HIRE FREEDOM staff. Please allow our staff to set up and pack up all items for your safety and to reduce the risk of damage. 


COVID 19 PROCEDURE

- We thoroughly clean every item included in our packages before and after use. 

Any cancellation due to covid-19 or any other illness is non-refundable, but may be applied towards the cost of another hire if held within 90 days of the original hire date.


HIRE FREEDOM LTD agrees to:

  • Provide the equipment for use by the Client at the agreed site for the period of hire, as set out on the invoice.
  • Erect any structure on or after the date agreed of set up for the period of hire.
  • Provide the equipment in good working order.
  • To disassemble and remove all equipment from the agreed site on or after the final date of the period of hire.

The Client agrees to:

  • Pay the booking deposit as agreed with HIRE FREEDOM LTD. The booking will only be operative upon receipt of the deposit by the Company.
  • Pay any balance due to HIRE FREEDOM LTD no later than 7 days prior to the commencement of the period of hire
  • Pay the total cost of hire if hire period falls within 30 days.
  • In the event the booking is cancelled, the deposit is non refundable.


The Equipment

  • The Client is fully responsible for the Equipment for the duration of the period of hire.
  • The Client will be responsible for all expenses, losses, damages, and/or claims suffered during the period of hire arising from any negligence, omission or fault of the Client and/or any such claims, or reimburse the HIRE FREEDOM for any losses or damages to the Equipment.
  • The Client agrees not to use any electrical equipment included but not limited to lighting, appliances, cooking or other decorative electrical items, without written consent being received from HIRE FREEDOM. Such consent must be requested prior to the commencement of the period of hire.
  • The Client agrees not to use any naked flame in, or within four (4) metres of the Equipment.
  • The Client agrees to immediately report any theft of the Equipment to the local Police Service and to HIRE FREE.
  • The Client agrees to use the Equipment for purposes only that are agreed in these terms.
  • The Client agrees not to deface or tamper with the Equipment including, but not limited to, affixing any object to the Equipment.
  • The Client agrees no smoking is permitted within four (4) metres of the Equipment.
  • The Client agrees pets, are only permitted in agreement with HIRE FREEDOM and must be declared at time of booking.
  • The Client agrees not to remove the Equipment, or any part thereof, from the installed vehicle at any time.
  • The Client acknowledges the Equipment is not suitable for children under the age of eighteen (18) years without the presence of a person over the age of eighteen (18) years.
  • The Client agrees that all Equipment is vacated by the departure time provided in writing by HIRE FREEDOM.
  • HIRE FREEDOM reserves its right to inspect the Equipment at any time for the duration of the rental period. Should there be any damage sustained to the Equipment, or any other breach of these Terms by the Client, the Company reserves the right to remove the Equipment from the vehicle without notice to the Client.
  • The Client should never presume that any other equipment is included in the Hire other than what is stated in the Company’s booking forms and related website, specific to their booking.


Prior to the commencement of the period of hire the Client must:

Β·  Provide HIRE FREEDOM LTD with the correct specifications for their vehicle to assist correct installation on client vehicle at time of booking.

Β·  Provide HIRE FREEDOM LTD with a copy of full valid UK drivers license. (This must be the owner of the vehicle the equipment is being installed on).

Β·  The Client acknowledges that HIRE FREEDOM LTD has the right to set up the Equipment in position it thinks most suitable and fits the purpose.

Β·  In the event these requirements delay or result in the Company being unable to perform its obligations, the Company shall notify the Client and the agreement shall be deemed void.


Set Up of Equipment

  • The Client agrees that the Client will be present during the assembling and disassembling of the Equipment by the Company. In the event the Client is not present, the Client agrees that any changes to the positioning of the Equipment at the request of the Client may incur additional fees at the discretion of the Company.
  • For the purposes of assembling and disassembling of the Equipment, the Client will ensure the Company is provided with unencumbered access to the installation site, free of any impediment including cost. Unless otherwise discussed prior to the hire period.
  • The Company shall not be liable to the Client for any delay, poor or non-performance of the terms of this hire that result from forces of nature such as weather conditions, including high winds, flood, storm, nor any other situation that causes health or safety concerns for the employees of HIRE FREEDOM. Should such forces of nature cause the assembling of the Equipment not to occur at the commencement of the period of hire, the Company shall determine whether it is appropriate to set up the Equipment at any later stage during the duration of the period of hire. Should HIRE FREEDOM determine that set up is not appropriate for any reason, the agreement will be terminated, the deposit refunded to the Client and the Client agrees to have no additional claim against HIRE FREEDOM. The Client agrees that any costs reasonably incurred in the attempt to assemble the Equipment will be payable to HIRE FREEDOM LTD.
  • The Client will indemnify HIRE FREEDOM in relation to any and all liability for personal injury or property damage that arises either directly or indirectly as a result of this hire. The Client will indemnify HIRE FREEDOM in respect of any claims made by a third party in this regard.
  • In the result of high winds or extreme weather HIRE FREEDOM has the right to cancel the booking or substitute larger tents for smaller tents.
  • The Hire charges are based on the assumption that the installation site is a flat level firm ground with easy access for motor transport.
  • All clients items are to be fully cleared from the equipment upon departure. Any items left to which the Company have to dispose of or clean ie. Stoves, kettle, stains/soils etc could incur further charges or loss of security deposit.
